Welcome to Sunday Vacations, a travel & social community operated by UJAMAA ASBL, registered in Belgium under company number 0475.052.055, with registered address in Brussels.

By joining Sunday Vacations, participating in events, accessing our online groups, or purchasing a membership, you agree to these Terms & Conditions.

If you do not agree with any part of these Terms, you should not participate in our activities or use our website.

1. Nature of the Organisation

Sunday Vacations is operated by UJAMAA ASBL, a Belgian non-profit association.
Our mission is to bring people together through hikes, cultural activities, social events, day trips, weekend escapes, and international travel experiences.

We are not a travel agency.
We coordinate community-based activities; external services (transport, accommodation, guides, insurance, etc.) are performed by independent third-party providers.

2. Membership

We offer several membership tiers (Explorer, Voyager, Ambassador).
Memberships:

• Are valid for one year from the date of payment

• Are non-refundable, except where required by law

• Provide community access and benefits described on our website

• May be updated or modified at any time (changes do not affect current paid memberships)

Membership does not constitute a commercial contract for package travel or a consumer subscription service.
It supports the ASBL and the logistics behind event coordination.

3. Event Participation

By joining an event, you acknowledge:

• You are responsible for your own safety, personal belongings, and physical condition

• Outdoor activities (hiking, walking, sports, etc.) involve risks

• You must follow instructions from Sunday Vacations organisers

• You must behave respectfully and follow the Code of Conduct

• Organisers may refuse participation or remove participants whose behaviour is unsafe, disrespectful, or disruptive

We reserve the right to modify, postpone, or cancel an event due to weather conditions, safety concerns, operational constraints, or insufficient registrations.

If an event is cancelled, we will offer:

• A full refund of the organising fee

• OR transfer to another event

This excludes costs paid directly to third parties (transport, hotels, tickets, etc.), which follow their own refund policies.

4. Payments & Organising Fees

Organising fees cover:

• Planning & coordination

• Reservations & communication

• Group management

• Administration

• Operational support for the ASBL

They do not cover transportation, meals, accommodation, tickets, or personal expenses unless stated otherwise.

All payments must be made before participating in an event.
Unpaid fees may result in automatic removal from the participant list.

5. Cancellations by Participants

Cancellation rules depend on the type of activity:

• Free mixers in Brussels

            No cancellation fee.

• Local events in Belgium (with organising fee)

           Organising fees are non-refundable, except if:

                   - The organiser cancels the event

                   - You find a replacement participant

                   - The Terms specifically mention a flexible policy

• Trips outside Belgium

            For transportation, hotels, guides, etc., the partner’s cancellation policy applies. Sunday Vacations does not refund costs paid to external providers.

6. Travel & Insurance

Participants are responsible for:

• Valid travel documents (passport, visa, ID)

• Health coverage

• Travel insurance (recommended for all events, mandatory for international trips)

Sunday Vacations does not provide insurance and cannot be held responsible for medical costs, lost items, or travel disruptions.

7. Liability Waiver

By participating in any event, you agree that:

• Participation is voluntary

• You assume all risks associated with the activity

• Sunday Vacations and UJAMAA ASBL are not liable for injuries, accidents, theft, delays, cancellations, or damages caused by you or third parties

This does not limit liability in cases where Belgian law prohibits limitation.

8. Behaviour & Community Rules

Participants must follow our Code of Conduct, which includes:

• Respect for all participants

• No harassment, discrimination, or aggression

• No behaviour that endangers others

• No spamming or unsolicited promotions

Organisers may remove participants who violate these rules, without refund.

9. Use of Photos & Videos

During events, organisers or participants may take photos or videos.
By participating, you grant Sunday Vacations permission to use non-sensitive group images for community communication and promotional purposes (website, Meetup, WhatsApp, Instagram, etc.).

If you prefer not to appear in photos, inform an organiser at the event and we will respect your request.

You may also ask us to remove a photo from our platforms at any time.

10. Privacy & Data Protection

We process personal data in accordance with the Belgian GDPR rules.
For details, please read our Privacy Policy.

We store only the information necessary for:

• Membership management

• Communication

• Event coordination

• Safety and emergency purposes

Data is never sold to third parties.

11. External Partners & Third-Party Services

Some events require working with external partners (tour operators, FlixBus, hotels, guides, restaurants, etc.).
Sunday Vacations is not responsible for:

• Delays

• Service cancellations

• Pricing errors

• Quality of external services

• Changes to itineraries

• Accidents caused by third-party providers

Their terms & conditions apply separately.

12. Modifications to These Terms

UJAMAA ASBL may update these Terms & Conditions at any time.
We encourage members to review them periodically.

Continued participation in events constitutes acceptance of any updates.
