Code of Conduct UJAMAA ASBL / Sunday Vacations

1. Purpose​
This Code of Conduct establishes the behavioural standards expected of all participants in activities organised by UJAMAA ASBL under the name Sunday Vacations, whether in person or online.
Its purpose is to ensure a safe, respectful, and inclusive environment for all members, volunteers, organisers, and third parties.
By participating in any activity or joining any communication channel linked to the ASBL, the member accepts these conditions without reservation.

2. Scope of Application​
This Code applies to:

All Sunday Vacations events, activities, trips, and gatherings

All online platforms managed by the ASBL (WhatsApp groups, social media, community pages, etc.)

All interactions between members, organisers, volunteers, and partners
-
Any behaviour that may impact the reputation or operations of the ASBL

3. General Obligations of Members
Members shall:

Behave respectfully and courteously toward all participants, organisers, and third parties.

Promote an inclusive environment without discrimination based on nationality, gender, age, race, religion, disability, sexual orientation, or any other protected characteristic.

Follow all instructions issued by organisers for safety, logistics, and group cohesion.

Adhere to the principles of responsible conduct, both during activities and within digital communication channels.

4. Prohibited Conduct
The following behaviours are strictly prohibited:

Harassment, intimidation, or discriminatory remarks or actions

Aggressive, violent, threatening, or unsafe behaviour
-
Sexual harassment, unwanted advances, or inappropriate comments

Excessive consumption of alcohol or substances affecting safety during an activity
-
Disruption of activities, refusal to follow safety instructions, or endangering oneself or others
-
Spamming, unsolicited advertising, or promoting external groups in ASBL communication channels
-
Sharing private information or images of members without consent
Any behaviour deemed harmful to the safety, cohesion, or reputation of the ASBL may result in sanctions.

5. Safety and Liability
Members participate in activities voluntarily and remain responsible for their own safety, behaviour, and personal belongings.
They agree to adopt a prudent attitude, particularly during hikes, outdoor activities, travel, and any activity involving physical effort.
UJAMAA ASBL and its organisers cannot be held liable for injuries, accidents, or damages caused by:

Failure to follow instructions

Personal negligence or misconduct

External and unforeseeable circumstances​

6. Photography and Image Rights
Photographs or videos may be taken during events for community communication.
Members may request not to appear in such media or may request removal of an image in which they appear.
The ASBL will comply with reasonable requests within a reasonable timeframe.

7. Sanctions and Disciplinary Measures
In the event of violation of this Code, the ASBL reserves the right to apply one or more of the following measures, depending on the seriousness of the behaviour:

Verbal or written warning

Removal from an ongoing activity

Temporary exclusion from activities or communication channels

Permanent exclusion from the community and revocation of membership

Notification to relevant authorities in cases of unlawful conduct
Membership fees are non-refundable in the event of exclusion.
Decisions regarding sanctions are at the discretion of the ASBL’s management or designated organisers.

8. Reporting Mechanisms
Any member who witnesses or experiences inappropriate behaviour may report it confidentially to the ASBL at:

9. Acceptance of the Code
By registering as a member, participating in any activity, or joining any communication channel administered by the ASBL, the individual acknowledges:

Having read and understood this Code of Conduct

Agreeing to respect its provisions

Accepting that non-compliance may result in disciplinary action
This Code forms an integral part of the ASBL’s internal regulations.

10. Amendments
UJAMAA ASBL reserves the right to modify this Code of Conduct at any time.
Members will be informed of substantive changes through the official communication channels of the ASBL.
